ABOUT THE PRODUCTION COORDINATOR
The Production Coordinator is a self-motivated, team-oriented collaborator who works closely with the Production Manager to support Kelly Strayhorn Theater’s bustling schedule of programming and rental partner events at KST’s historic mainstage theater, KST’s Alloy Studios, and occasionally offsite in collaboration with other presenting organizations.

This role contributes to cultivating a positive work environment while ensuring top-notch artistic quality and safety during load-ins, rehearsals, performances, and load-outs. The successful candidate is an excellent communicator, adept at managing relationships in all directions with a variety of stakeholders, including local and visiting artists, technicians, and other partners.

This role is pivotal in maintaining smooth operations across venues.The Production Coordinator is an organization ace who brings their skills to the forefront, expertly spearheading facility operations and maintaining a well-ordered, fully equipped, and safe inventory of all production and facility equipment and supplies.
 

SALARY & BENEFITS 
This is an in-person, full-time, non-exempt position and pays $17.00/hr. The salary rate is fixed. Please don’t apply if this compensation is not right for you.

SCHEDULE:
This is an in-person, non-remote, full time position that includes up to 40 hours per week. Our typical office hours are 10am-6pm on weekdays; however, this position requires frequent evening and weekend hours and occasional holidays as required by event schedules.

ABOUT KELLY STRAYHORN THEATER 
Named after 20th-century entertainment legends and Pittsburgh natives Gene Kelly and Billy Strayhorn, Kelly Strayhorn Theater is a home for creative experimentation, community dialogue, and collective action rooted in the liberation of Black and queer people. KST takes a multidisciplinary approach to presenting contemporary performing arts while examining the questions that define and inspire us as individuals and communities. 
 

RESPONSIBILITIES

Production:

  • Assist with overseeing the smooth and safe execution of activities at Kelly Strayhorn Theater and KST’s Alloy Studios, upholding KST’s standards of quality. 
  • Assist with contracting, scheduling and supervising labor for KST Presents events and Rentals. 
  • Support with coordinating rental equipment, advancing technical elements and set-up/restore before and following activities as required per event.
  • Perform as crew lead, board operator, stage hand or manager as needed for live events.
    •  When crew lead:
      • Complete show reports and proactively communicate event and facility related needs to the appropriate personnel.
      • Implement KST emergency policies and procedures in the event of an emergency situation.
      • Keep events running smoothly, on schedule and in compliance with agreements, contracts and approved budgets.
  • Assist with internal and external event related communications, calendar maintenance and departmental metric tracking.
  • Maintain safety and decorum backstage as outlined by the Backstage Handbook and House standards.
  • Maintain a professional environment and cultivate positive relationships with hired technical crew, visiting technicians, performance artists, renters and vendors.
  • Support daily technical operational needs including technical equipment and facility inventory and upkeep and other tasks as assigned by management. 

Facilities:

  • Monitor facility needs for KST and KST’s Alloy Studios buildings; maintain facility inventories and maintenance calendars.
  • Investigate and collect quotes for larger repairs and capital projects and equipment, recommend a course of action to management. Assist with small facility repairs as they arise.
  • Maintain monthly cleaning schedule with cleaning vendor and monitor quality. Order cleaning and restroom supply inventory as needed.
  • Serve as point of contact for regular visiting maintenance vendors. Collect, review and submit vendor invoices promptly for payment.
     

REQUIREMENTS

  • Knowledge of basic theatrical safety standards.
  • Able to work collaboratively with a wide variety of different personality types.
  • Must be at least 18 years old, have reliable transportation, be able to lift 40 lbs and work at heights up to 30 feet. This job requires bending, stretching and standing for long periods of time.
  • Availability must include evenings, weekends (frequent) and holidays (occasional) 
 

PREFERENCES (you should still apply even if you don’t have all of these traits):

  • At least one year of professional experience in technical theater, backstage/crew work, or stage management.
  • Experience with Electrics, the ETC EOS lighting control systems, the Yamaha LS-9 Sound Board, QLab 4, and basic A/V equipment.
  • Experience with Google Workspace, including Google Calendar, Drive, Sheets and Docs.
  • Strong verbal and written communication skills.
  • Highly organized, great multitasker and cool under pressure. 
  • Flexible, positive attitude, and willing to step into unfamiliar roles.

We are looking for someone that has good experience in most of the knowledge areas mentioned above, but most importantly someone that is able to learn quickly and implement new techniques to improve their craft.
