Kelly Strayhorn Theater (KST) is committed to providing the highest-quality service to its artists and community, which includes accurately maintaining data, administering a welcoming and organized office and providing support to a fast-paced team. The Operations Assistant serves a support role to our organization at large, managing office-wide needs including data system management, HR and operations support, and streamlining systems. The impact of your work enables KST to serve nearly 20,000 patrons a year, create opportunities for more than 200 local and national artists, and incubate 2 emerging organizations led by people of color.

CLASSIFICATION: Intern

REPORTS TO: Deputy Director

COMPENSATION: This position is hired and compensated through Carnegie Mellon University. If you are not currently a CMU student, please do not apply. 

SCHEDULE: Please note that this is an in-person position 85% of the time. You are eligible to work up to 30 hours per week on site at KST’s Alloy Studios in Friendship during the summer 2023. Our typical office hours are 10am-6pm on weekdays. We will work with you to craft the best schedule.

ABOUT KELLY STRAYHORN THEATER

Named after 20th-century entertainment legends and Pittsburgh natives Gene Kelly and Billy Strayhorn, Kelly Strayhorn Theater (KST) is a home for creative experimentation, community dialogue, and collective action rooted in the liberation of Black and queer people. KST takes a multidisciplinary approach to presenting contemporary performing arts while examining the questions that define and inspire us as individuals and communities. 

 

PRIMARY RESPONSIBILITIES

  • Assist with Salesforce database maintenance and metrics input as part of a current six-month optimization project led by Deputy Director
  • Plan and implement new streamlined tracking system for recording employee paid time off
  • Ensure all relevant new hire paperwork and physical and electronic personnel files are accurately processed and filed
  • Research, collate, and edit existing organizational process documents in preparation for operations audit and handbook creation by third party consulting firm
  • Daily management of mail to ensure staff documents are sent and mail received is distributed to appropriate staff
  • As appropriate, assist other departments and work as a member of interdepartmental teams to ensure the effective and efficient operations of Kelly Strayhorn Theater

 

DESIRED EXPERIENCE

  • Excellent written and oral communications skills
  • Excellent computer skills, including knowledge of Microsoft Office, Google Suite, Mac Systems and willingness to learn new job-specific applications such as Salesforce
